SharePoint governance plan for the British Red Cross

The British Red Cross is the United Kingdom branch of the worldwide humanitarian organisation the International Red Cross and Red Crescent Movement. The society was formed in 1870, and is a registered charity with over 31,000 volunteers and 2,600 staff.

The organisation had started to roll out SharePoint as a project based collaboration solution. The application was adopted quickly and individual business units and teams configured and operated the system independently. A need for governance and control was identified.

Through a series of meetings with the key stakeholders to understand the differing needs of the business, BEP Systems helped define a practical governance model that allowed for flexibility and future growth.

BEP’s guidance meant that the information governance structure, roles and responsibilities were well defined and supported by an ongoing training and communication strategy. Clarity was provided in regard to the role of the different information sources (Intranet, collaboration solution, records management etc.), and simplifying the architecture means that future support will be quicker and cheaper to deliver.

BEP’s services ensured that senior management were fully engaged in the solution and meant that further roll out of the existing solution would be based on solid processes and structures thus allowing the solution to grow organically as larger and more diverse projects came on board.
